Event site management and site operations
We run the compound, deliveries, welfare, fences, routes and reinstatement, from the first peg to the last skip.
Planned remotely, with on-site teams for the live days, across the UK and internationally. Every job is priced in a written quote.
We run this service.
OTAS Live provides event site management: a Site Operations Manager who runs the compound, deliveries, contractors, welfare and reinstatement for festivals, sport and outdoor events. It keeps lock-up and deliveries from becoming Event Control's second job, and it means the ground is handed back the way you found it.
Who it is for
- Greenfield and park sites with a compound and deliveries
- Organisers with their own crew who need someone to direct it
- Sites next to homes or schools that need quiet-build rules
Our method
How we run it, step by step
Plan
We give site layout input on the compound, routes and sterile lines, and set quiet-build rules for sites next to homes or schools.
Build
We open the compound, meet every vehicle and walk every structure and cabin as it arrives.
Every day
We open and lock the compound and run deliveries against the daily run sheet, with fence lines, welfare, skips and routes checked.
Live
We direct the Site Crew Supervisors and any site crew you supply, and hold the ground after Event Control stands down.
Break
We complete the reinstatement, return the keys and hand the site back clean.

Deliverables
What you receive
Daily run sheet, delivered
Every vehicle met and every delivery run against the daily run sheet.
Site layout input
Input on the compound, routes and sterile lines, as part of Event Operations Planning.
Quiet-build rules
Written rules for sites next to homes or schools.
A clean handback
Reinstatement completed, the keys returned and the site handed back clean.
What OTAS does at each level
| Level | What OTAS does |
|---|---|
| Operational | We open and lock the compound every day and meet every vehicle. We look after fence lines, welfare, skips, routes and ground protection, and finish with the reinstatement and the return of the keys. |
| Tactical | We run deliveries against the daily run sheet and walk every structure and cabin as it arrives. We direct the Site Crew Supervisors and any site crew you supply, and hold the ground after Event Control stands down. |
| Strategic | We give site layout input on the compound, routes and sterile lines, as part of Event Operations Planning. We set quiet-build rules for sites next to homes or schools, and hand the site back clean. |
- How it is delivered
- We are on site from the first morning to the last afternoon. A single OTAS manager can run the site with your crew, and on bigger jobs we add a Site Operations Manager and Site Crew Supervisors.
- What you get
- Lock-up and deliveries that do not become Event Control's second job.
- Your own site crew directed on the ground.
- A daily site log and the ground handed back as it was found.
- Price
- Every job is priced in a written scope and quote. Request a quote, or get the rate card by email.
- What is not included
- We do not erect marquees or cabins or build the stage, which stay with your suppliers. Lift crew is not part of this service, but we can arrange local lift crew on heavy days (see We can also supply). OTAS works under the CDM Principal Contractor you appoint, which is often you as the organiser, and does not take that role.

A planned shift is up to 12 hours, including handover. 24-hour or overnight cover is a second shift, not one long day. If a day runs over, which is the exception and not the plan, time over the planned shift is charged per hour or part hour at the overtime rate on our rate card, agreed on the day and confirmed in writing. No one works more than 16 hours on site, and the next shift starts after at least 11 hours' rest. Minimum on-site booking: £1,075 (one manager day and one planning day). Night, bank holiday and short-notice rates, overtime, discounts and expenses are on the full rate card.
Every job is scoped and confirmed in writing before it starts.
Prices are the full price you pay.

From our own work
On a multi-day international sporting event, OTAS held daily on-site responsibility for build and break: contractor supervision, signage and segregation, a written site log, make-good and the CDM handover.
