Event safety management
One accountable manager on the ground for the event's safety, from the first morning of build to the last afternoon of break.
Planned remotely, with on-site teams for the live days, across the UK and internationally. Every job is priced in a written quote.
We run this service on site.
OTAS Live provides event safety management: one experienced manager who runs the event's safety on the ground, reports to your event manager every day, and stays from build to break. On smaller events the same manager also runs the operation. On larger events, or where the venue or SAG needs a dedicated safety post, we split the roles.
Who it is for
- Organisers who need one accountable person on the ground every day
- Multi-day outdoor events, festivals and sport
- Venues bringing in an event they do not run every week
Our method
How we run it, step by step
Brief
We read your event management plan or draft, the safety plan, the site plan and your contractor list before the first site day.
Before build
We give safety input to your event management plan and safety plan, and answer safety questions at SAG and CDM meetings.
On site
The manager walks the site every day and coordinates contractors where several employers share one site.
Before doors
The manager signs the daily pre-doors check before the public are let in, and can stop work where the contract gives that authority.
Close
We write the close-out note and lead the debrief, with dated, costed actions for the next edition.

What OTAS does at each level
| Level | What OTAS does |
|---|---|
| Operational | The manager is on site every day of the deployment, walks the site and signs the daily pre-doors check before the public are let in. |
| Tactical | The manager coordinates contractors where several employers share one site. They can stop work where the contract gives that authority, and speak with your event manager every day. |
| Strategic | We give safety input to your event management plan and safety plan, and answer safety questions at SAG and CDM meetings. We also write the close-out note and lead the debrief. |
- How it is delivered
- This is hybrid work: planning days in the months before, then on site for build, live and break. On smaller jobs the same manager runs Event Operations Management and Event Safety Management together, and also runs Site Operations and chairs Event Control. On larger jobs, or where the venue or SAG needs a safety post with no other duties on the day, we split safety and operations into separate posts.
- What you get
- One person to call, on the ground, every day.
- The safety call made on site by the person who wrote the plan.
- Signed daily pre-doors checks and a close-out note.
- Price
- Every job is priced in a written scope and quote. Request a quote, or get the rate card by email.
- What is not included
- The event management plan is not part of this service; we can write it as a quoted add-on, and the client remains its owner. We do not book SIA officers or medical cover. The decision to stop the show stays with you. We are not the Safety Officer named under a sports ground safety certificate, and we are not appointed as CDM Principal Contractor or Principal Designer.
Prices
Event Safety Management prices

A planned shift is up to 12 hours, including handover. 24-hour or overnight cover is a second shift, not one long day. If a day runs over, which is the exception and not the plan, time over the planned shift is charged per hour or part hour at the overtime rate on our rate card, agreed on the day and confirmed in writing. No one works more than 16 hours on site, and the next shift starts after at least 11 hours' rest. Minimum on-site booking: £1,075 (one manager day and one planning day). Night, bank holiday and short-notice rates, overtime, discounts and expenses are on the full rate card.
Every job is scoped and confirmed in writing before it starts.

Documents-only option
Event Safety Documents
For events that do not need a full team on site, we write event risk assessments and safety documents remotely: risk assessments, emergency response and adverse weather plans, readiness checks and SAG pack support. They are written by people who run sites, so they match your site plan and run sheet and can be used by the teams on the ground.
We work remotely first, with one clarification call per document and site inspection days by agreement, for UK and English-speaking international clients. Request a quote for the documents-only option.
- Event risk assessment: written to match your site plan and programme, with a risk layer for build and break.
- Fire risk assessment: for temporary event structures where the fire risk is not complex.
- Emergency and adverse weather plans: an emergency response plan with roles and escalation, and an adverse weather plan with trigger points for each phase.
- Readiness checks and SAG support: a list of fixes for your existing plans, support with safety plan drafting and SAG packs, advice notes and advice on readiness for the Terrorism (Protection of Premises) Act 2025 (Martyn's Law).
- Inspections by agreement: pre-event inspections 24 to 48 hours before opening, and contractor RAMS checked against the site and the programme.
This is not a substitute for a fire engineer, structural engineer or CDM duty holder where the law needs one, and it is not legal advice. Under the 2025 Act, the duties stay with you as the responsible person.

Proof
From our own work
On a multi-day international sporting event (2024 to 2026), OTAS directed safety on site: daily walk rounds, pre-event inspections 24 to 48 hours before opening and contractor RAMS review, alongside site, Event Control and logistics.

Questions
Questions clients ask
What does an event safety manager do?
They hold the safety plan on the ground: daily checks, contractors and safety calls, with daily contact with your event manager so you can focus on the event.
Can one person run operations and safety?
On smaller events, yes, inside agreed limits. Industry guidance says the person leading safety should not be pulled into competing jobs on the day, so on larger events, or where a venue needs a dedicated safety post, we split the roles.
Do you replace our event manager?
No. OTAS reports to your event manager and works inside your structure.
What do you need from us before the first site day?
Your event management plan or draft, the site plan, the programme and your contractor list. We comment on the plan before build so the questions are settled early.
