We can also supply: logistics, crowd, traffic and more

Extra support around the core services, working under the OTAS manager on site.

Every job is priced in a written quote.

Extra roles and functions that sit around the 6 core services, so your event has one plan and one line of reporting instead of a list of separate suppliers.

Each of these works under the OTAS manager on site and reports into Event Control, with the scope and price set for each job.

Extra support, priced for each job

Logistics and site

  • Logistics and deliveries: A delivery plan, laydown and plant, with every truck on the run sheet.
  • Contractor management: Inductions, RAMS review and the daily contractor meeting.
  • Power and utilities coordination: The power and water plan, agreed with your electrician and suppliers.
  • Sustainability and waste: Waste, cleansing and reinstatement, planned into the run sheet.
  • Crew and accommodation: Team housing near the site at cost, and local lift crew on heavy days.

Security, crowd and access

  • Security planning: A written, position-by-position security plan, agreed with your security contractor, whose own supervisors manage their staff. OTAS does not supply, manage or supervise SIA-licensed staff.
  • Crowd management: Ingress, egress and crowd density managed against the plan from Event Control.
  • Traffic and access: On-site gates, routes, parking and drop-off, built into the run sheet. This does not include traffic management on public roads.
  • Accreditation: Zones and passes planned, with the checks for each zone entry point set out in the plan. OTAS does not provide access control.
  • CCTV and communications: The radio plot, call signs and camera positions, planned to feed Event Control. Cameras are operated by your licensed operator.

People and welfare

  • Medical and welfare oversight: Your medical provider's cover checked against the hours the event actually runs.
  • Workforce, stewards and volunteers: Rotas, briefings and welfare for the non-licensed workforce.
  • Accessibility: Accessible routes, parking, viewing and evacuation needs, all checked.
  • Safeguarding: Safeguarding concerns routed through Event Control to your named safeguarding lead.

Production and programme

  • Production and stage: A Production Manager and a Stage Manager for the room or stage.
  • Evening programme: A late-shift Event Control Manager and artist liaison for after-hours shows.
  • Activations: Partner and sponsor builds booked in and checked before the doors open.

Specialist add-on

  • Event Resilience Lead: One senior lead who goes to incidents involving several teams and coordinates them at the scene within limits you sign off, alongside your Event Control. £700 a day.

Before and after

  • Training and briefings: Inductions, radio briefings and position briefing cards.
  • Review and debrief: A single review session with dated, costed actions for next time.
  • Interim staff: An OTAS manager placed in your team to cover a gap.
