Event Control room management and staffing

One room, one log and one picture of the site, staffed for the whole public day.

Planned remotely, with on-site teams for the live days, across the UK and internationally. Every job is priced in a written quote.

We run this service.

OTAS Live provides Event Control room services: an Event Control Manager to chair the room, loggists to keep a timed log, and a written specification for how the room runs. Event Control is where the whole site is seen as one picture, where incidents are managed and where decisions are escalated to you, with a written record of every call.

Who it is for

  • Events that need a control room for the whole public day
  • Organisers who need a log that will stand up later
  • Long days that need day and late-shift cover

Our method

How we run it, step by step

  1. Specify

We write the room specification, radio plot, call signs and log format into the plan.

  2. Staff

We set a staffing model that respects working time rules, with day and late-shift Event Control Managers who hand over in writing.

  3. Set up

We set up the room and test the radios before the public arrive.

  4. Live

We chair the room for the whole public day: a timed log, radio discipline, incidents and escalation to you.

  5. Hand over

We hand over the log at mid load-out and use it as the basis for the debrief.

What OTAS does at each level

LevelWhat OTAS does
OperationalWe set up the room and test the radios, keep the incident log in real time with every entry timed, and run the radio checks and the night handover. If it is not in the log, it did not happen.
TacticalThe Event Control Manager chairs the room, looking after the log, radio discipline, incidents and escalation to you. Day and late-shift Event Control Managers hand over in writing, so no one person holds a 17-hour shift.
StrategicWe write the room specification, radio plot and log format into the plan, with a staffing model that respects working time rules. The log then feeds the debrief.
How it is delivered
The specification is written remotely, and the room then runs on site from just before the public arrive until mid load-out.
What you get
  • A written, timed record that stands up to licensing, insurers and a debrief.
  • A chair in the room for the whole public day.
  • Clear calls between the show and the production team.
Price
Every job is priced in a written scope and quote. Request a quote, or get the rate card by email.
What is not included
Event Control is not an emergency-service command seat. When the police, fire or ambulance service take command, Event Control supports them. We do not call the show or the sport, and we do not operate CCTV, which needs SIA-licensed operators.

A planned shift is up to 12 hours, including handover. 24-hour or overnight cover is a second shift, not one long day. If a day runs over, which is the exception and not the plan, time over the planned shift is charged per hour or part hour at the overtime rate on our rate card, agreed on the day and confirmed in writing. No one works more than 16 hours on site, and the next shift starts after at least 11 hours' rest. Minimum on-site booking: £1,075 (one manager day and one planning day). Night, bank holiday and short-notice rates, overtime, discounts and expenses are on the full rate card.

Every job is scoped and confirmed in writing before it starts.

Proof

From our own work

On a multi-day international sporting event, OTAS ran the control room and kept the Event Control log with safety decisions in writing, ran all-channel radio checks and moved the log to digital in 2026.

Questions

Questions clients ask

What does Event Control do at an event?

It is the room that keeps one log and one picture of the site, takes the radio calls, manages incidents and escalates decisions to the organiser.

Can you staff our control room for long days?

Yes. We plan day and late-shift Event Control Managers with a written handover so the room stays covered without one person working the whole day.

Who owns the Event Control log after the event?

You do. The log is written for your event file, your debrief, your insurers and the licensing authority, and it is handed over with the close-out note.
