Case study, client not named

Case study: a multi-day international sporting event

The client ran the sport. OTAS ran the operation around it, over three editions from 2024 to 2026.

The client and the event are not named on this page.

8 functions, each run by OTAS or planned with the client's team

FunctionOTAS roleWhat OTAS did
SiteWe ran thisOTAS held daily on-site responsibility for build and break, covering contractor supervision, signage and segregation, a written site log, make-good and the CDM handover.
SafetyWe ran this on siteOTAS led safety in event week, and day-to-day health and safety through build and break, with daily walk rounds, pre-event inspections 24 to 48 hours before opening and contractor RAMS review with the client's safety adviser.
Event ControlWe ran thisOTAS ran the control room and kept the Event Control log, with safety decisions in writing, ran all-channel radio checks and introduced a digital log in 2026.
LogisticsWe ran thisOTAS ran the delivery schedule and laydown through build, and deliveries around the site in event week.
SecurityWe planned it with the client's teamWrote the security deployment plan position by position for the client's security contractor, whose contract the client held.
MedicalWe planned it with the client's teamMedical cover came from a provider contracted to the client, with medical calls routed through Event Control.
TrafficWe planned it with the client's teamParking and vehicle access were allocated, including participant drop-off and Blue Badge parking.
ActivationsWe planned it with the client's teamSponsor activation build and break were scheduled into the site programme and checked on site.

Where we run a function, it sits under our own contract and we do the work ourselves. Where we plan it with you, your team or a contractor you appoint, hold the contract and run it, with their own supervisors managing their staff. We agree the plan with them and link them to Event Control. For security, OTAS does not manage or supervise SIA-licensed staff. We agree which arrangement applies to each function before the job starts.

Strategic outputs

  • A CDM plan and handover, and a post-event report (2025).
  • A written safety advice note to the client's leads on threat level, readiness for the Terrorism (Protection of Premises) Act 2025 (Martyn's Law), CCTV coverage, ingress and egress and Event Control (2026).
  • A post-event debrief with a costed service model for the next edition (2026).
