Event operations planning and site layout plans

We work the months before your event as real days with real outputs: run sheets, schedules, site layout plans and support with licensing, the SAG and your suppliers.

Planned remotely, with set site visits, across the UK and internationally. Every job is priced in a written quote.

We run the planning and plan it with your suppliers.

OTAS Live plans the operation in the months before your event: run sheets, security schedules, parking and site layout plans, and licensing and SAG support. The aim is simple: marked-up site layout plans and schedules settled enough to hire against before build starts, so the questions are answered at a desk and not on the day.

Who it is for

  • Events in the months before build
  • Organisers who need run sheets, schedules and layouts to hire against
  • Teams working with several security, medical and traffic suppliers

Our method

How we run it, step by step

  1. Walk

We walk and measure the site, and hold calls and site visits with your security, medical and traffic contractors.

  2. Schedule

We build the daily run sheet from first cut to issue, and work up the security schedule with your provider, with a briefing card for every position.

  3. Mark up

We produce marked-up site layout plans on your own base site plan, by phase, from the site walk, each issued with a revision number.

  4. Decide

Where the plan needs a choice from you, we set out the options with the trade-offs written down in a short decision paper.

  5. Support

We support your licensing and SAG work, with you as the applicant, and comment on your safety plan. We can write the event management plan as a quoted add-on, and you remain its owner.

What is not included
The event management plan is not part of this service; we can write it as a quoted add-on, and the client remains its owner. Planning days are not a retainer. OTAS does not hold the licence, act as applicant or submit to the SAG, and does not contract or pay your suppliers. Site layout plans are working plans. They are not a measured survey, they are not structural, electrical or fire engineering design, and they do not replace a CDM Principal Designer. A full drawing package is not part of this service.

Proof

From our own work

For a multi-day international sporting event, OTAS wrote the security deployment plan position by position and the delivery schedule and laydown, and ran Event Control on the live days. Site layout plans are a newer part of this service.

Questions

Questions clients ask

How many planning days does an event need?

It depends on the site and programme. We set out the days and outputs in a written scope before we start.

Can you produce our site layout plan?

Yes, as a marked-up site layout plan by phase on your own base site plan, from a site walk. For a measured survey or an engineering drawing set you need a specialist, and we tell you that when we quote.

Can you work with our existing suppliers?

Yes. We coordinate your security, medical and traffic contractors against one plan. They stay contracted to you.
